I. The terms & conditions of the booking.

 

Booking your vacation with Vietnam Trails Travel Service (‘the Company’), a company based in Ho Chi Minh City & Hanoi, Danang, Phu Quoc, and Nha Trang, Vietnam, applies these terms and conditions to all bookings in Vietnam.

The address on your booking form will be used to receive any emails from the company regarding your vacation.

Only a company-authorized agent can make each booking. When making a reservation, you must simultaneously pay a 50% deposit of the total reservation cost and complete the company booking form.

The company does not guarantee or imply confirmation of the booking simply because it receives the payment and the booking form.

The company does not guarantee bookings until it sends out written confirmation.

The company reserves the right to decline a booking without providing an explanation and to reimburse any deposits made in such a case.

You must pay the 30% to 50% deposit for your vacation at least 30 days in advance. If the company does not receive payment by the deadline, they have the right to cancel the booking and retain the deposit.

Signing the booking form obligates the individual to pay the full amount indicated under these terms.

The signatory is responsible for ensuring full payment to the company by the deadline. No reminders will be sent. No reminders will be sent.

If you make a reservation less than 30 days before your travel date,.

Please list all specific demands, including dietary needs, on the reservation form.

The company must provide the service according to the specifications and validate it in writing.riting, verified.

 

II. The tour cost policy

 

The company is not required to explain the expenses associated with your holiday.

Before approving your booking, the company retains the right to warn you of any price increase.

In certain restricted situations, your holiday price may be subject to surcharges after you receive a confirmation invoice, unless you choose to pay for your trip in full at the time of booking.

However, the company will only apply a surcharge to compensate for variations in transportation costs, including fuel costs, increases in standard published airfares, taxes or fees for services such as landing taxes at airports, the exchange rate applicable to the specific package, or any tax increases by the government or regulatory body.

Even so, before charging you anything, the company will deduct 2% of the cost of your vacation (apart from insurance payments and modification fees).

Only sums exceeding 2% will be subject to a fee. Revisions to the confirmation invoice you receive will indicate any surcharges.

You may cancel your booking within 14 days of the date of the revised invoice and receive a full refund of all payments made to the company, as well as any amendment charges previously incurred,

If a surcharge would increase the total holiday price shown on your original confirmation invoice by 10% or more,.

If you choose to pay for your vacation in full at the time of booking, the company will set your holiday pricing at the quoted amount.

To qualify for this benefit, you need to send the confirmation invoice and the full payment back to the company within seven days from the invoice’s date, along with the entire payment.

Should the value of the USD increase, the company will be unable to lower vacation costs due to the financial commitments stated above.

 

III. Refund policies 

 

The company retains the right to alter your vacation at any time and will notify you of such changes as soon as possible.

If the company needs to significantly alter your tour for any reason, you have three options:

(i) accept the new arrangements.

(ii) purchase another holiday from us.

or (iii) cancel your trip; major changes may result in compensation, as explained below: 

Minor adjustments will not be reimbursed. We may change the type of aircraft used, the departure and arrival times, and the restaurant and lodging standards to a similar or better level.

Any changes or cancellations due to acts of God (force majeure), war, threat of war, riot, terrorist activity, natural fire, or any other event beyond its control will be reimbursed by the company. You really must get enough travel insurance. 

Even after sending a confirmation notification, the company reserves the right to cancel your vacation at any time before the departure date.

If the company cancels your trip, they will fully reimburse you for any money you have already paid. There will be no more extra payments due.

 

IV. Cancellations and Changes by You:

 

You have the option to cancel your holiday at any time, provided that you provide written notice to the company. On any cancellation, the following fees will apply:

  • 30 days or more and 50% of deposit charge 
  • 15 – 30 days: 100% of deposit charge 
  • 8 – 15 days, 80% of  tour cost
  • 1 – 7 days 100% of tour cost

 

V. Your responsibilities 

 

You are responsible for obtaining your own travel insurance; however, your tour package can integrate appropriate coverage.

On the booking form, each member of your party must provide details about any insurance policies they hold.

Without appropriate confirmation of personal insurance, we cannot accept any booking forms.

As per the confirmation invoice, verify your insurance coverage for the specific activities you are booking.

 Each member of the party must have a valid passport, visa, and all other papers for the countries to which they are traveling.

The company assumes no responsibility for any delays or expenditures should your paperwork not be in order. 

You are responsible for checking in for flights at the appropriate time and presenting yourself to take up all pre-booked components of your trip.

The company cannot take responsibility for customers who miss flights due to late check-ins, and they won’t offer any credit or refund if you don’t use any part of your trip.

We will not offer any credit or reimbursement for lost, misplaced, or destroyed travel papers.

 

VI. Our responsibilities

 

The aircraft, accommodation, restaurants, and other services used in accordance with the planned excursions are not owned or managed by the company.

Even when the company has taken great effort to choose suppliers of travel, lodging, dining, and other services, it has not had the chance to check these aircraft, lodging, dining establishments, or other facilities and services.

If the company or the service provider fails to perform any part of our contract with you, or if such failure is attributable to (i) the acts and/or omissions of any member of the party, (ii) those of a third party not connected with the provision of your holiday, or (iii) an event that neither the company nor.

The service provider could have foreseen or prevented even with due care, then the company is not responsible if you or any member of your party suffers death, illness, or injury.

The company cannot assume responsibility should any member of your party become ill, injured, or die as a result of an accident resulting from an activity that is not a part of the vacation the company has booked for you. When suitable, the company will provide general support.

The company regrets that, absent a reimbursement from the carrier or supplier, unused tickets for travel, sporting events, or other events will not be refunded.

 

VII. Disclaimer

The company has done all within reason to verify the veracity of the material on our website. Still, the company disclaims all liability for any mistakes or omissions that might arise on this website.

 

VIII. Complaints

 

To help the appropriate airline, hotel, or local agent of other suppliers try to make things right, please let them know as soon as possible if you have a problem during your trip.

Should you be unable to find a solution, you need to get in touch with the company headquarters so they can offer assistance.

Should a complaint not be settled at the moment, you must write to the company within 30 days of getting home with your original booking reference number and all other pertinent details.

If you do not take any of these actions, the company will be unable to resolve any issues or conduct a thorough investigation, and any right you have to compensation will be either totally or partially lost.
